Uruvan Transport Ltda is committed to protecting the privacy and confidentiality of any personal information of individuals with whom we have business relationships, in full compliance with the regulations of the Oriental Republic of Uruguay regarding Personal Data Protection, particularly Law No. 18.331 and Decrees No. 664/008 of December 22, 2008, and No. 414/009 of August 31, 2009. This privacy statement applies to all Uruvan Transport personnel, as well as its agents and suppliers.

By this statement, we acknowledge our commitment to complying with the following principles, which are based on internationally recognized privacy and data protection frameworks:

Notification Principle

Uruvan Transport Ltda informs all individual and corporate clients that any personal data collected about them will be used solely for the fulfillment of the services for which the company has been contracted, providing one, some, or all of the following services: international and/or local moving, customs guarantee and processing, freight forwarding, logistics, insurance coverage, and/or storage of personal effects.
Additionally, this includes all oral and written communication exchanges required for the mentioned processes, always within the scope of our business activities. Clients are also informed about how to contact us for inquiries or complaints and about the types of third parties with whom this information may be shared.

Choice Principle

If necessary, Uruvan Transport will offer its clients the opportunity to decide whether their personal data may be shared with third parties for purposes other than those for which they were originally requested and authorized. To facilitate this, clients will be provided with a clear, transparent, and written formal acceptance mechanism to exercise their choice.

Data Collection and Integrity Principle

In accordance with the other principles, the personal information collected must be accurate, complete, and used exclusively for the fulfillment of the contracted service.

The personal data we collect are necessary and relevant for completing the customs clearance process for outgoing or incoming shipments. These include:
Full name
Nationality
Copy (including photo) of national ID, tax identification number (RUT), passport, or other personal identification
Biometric data
Personal address at both origin and destination
Work address at both origin and destination
Personal and/or work email address, personal, mobile, and/or work phone number

If we need to process any payments, the required data include:
Bank name
Bank account number and type

We collect personal data in the following ways:
Electronically: We receive and store the information our clients send us through forms and/or emails containing their personal data. These may include attachments with images and/or documents. All received data is archived in each client’s folder and/or transferred to government authorities, carriers, or our agents who require it to process the shipment’s departure and/or entry procedures.
Paper: The same as above, but in paper format.
Telephone: Through direct conversation with the user.
Third Parties: We receive certain information through third parties, such as our agents abroad and/or the companies for which our clients work.
We use this data only when the data owner has given consent and when it is necessary to fulfill the contractual obligations we have undertaken.
Principle of Use, Retention, and Disposal of Information
Uruvan Transport will limit the use of personal data provided by its clients to the purposes identified in our Notification Principle and for which the individual has given consent.

Personal data and information will be retained and used only in a lawful manner, consistent with the purpose(s) for which they were collected. Furthermore, once the contractual relationship has ended, the data will be archived and stored in our electronic database and paper records for a minimum period of one year, in compliance with applicable national legislation.

Principle of Access

All Uruvan Transport customers have the right to access and modify the personal information held about them. They may, therefore, question its accuracy and have the ability to correct, update, change, and/or delete it, either partially or completely, if it is inaccurate. This right may be exercised as long as the information has not already been transferred and/or processed by public and/or private entities for which it was collected.

Principle of Transfer

As a company providing international services, Uruvan Transport needs to transfer its customers’ personal data to other agents in different parts of the world. To ensure the security of personal information, all our agents are contractually obligated to comply with our confidentiality standards. Additionally, we notify our employees and suppliers of our privacy guidelines as part of our mandatory training on integrity and personal data protection. When our company needs to transfer information to a third party providing services on our behalf, it may do so only if the provider/contractor adheres to this Privacy Agreement or signs a new written agreement requiring them to provide at least the same level of privacy protection as required by the relevant principles.

Principle of Security

The name Uruvan Transport Ltd. or the name of any of our corporate accounts or families being relocated may not be used publicly by employees or any third party for any reason, including but not limited to advertising or marketing, in any media format, especially in written form, without our explicit consent.
It is also prohibited to sell, distribute, or share, in whole or in part, the personal data of individuals and/or families being relocated.
All our clients’ personal information is protected against loss and theft, as well as unauthorized access. Digital information is secured with restricted access, requiring an approved user and security password.
Printed information is kept under lock and key outside of office hours.

Principle of Quality

The data collected by Uruvan Transport Ltd. is gathered in good faith and is therefore presumed to be truthful, accurate, complete, and representative of the individual who provides it. It is the responsibility of the data owner to ensure that the information they provide to Uruvan Transport Ltd. meets these characteristics and is updated as necessary.

Principle of Control

Uruvan Transport Ltd. will make efforts to monitor that all the principles outlined in this Privacy Agreement are understood, respected, and complied with by its permanent staff as well as by companies and/or individuals contracted to carry out activities on behalf of Uruvan Transport Ltd.
